    The Coordinator/Backup Dispatcher will provide coordinator duties and administrative support to the Operations Manager and team members.  In addition, this position will organize the movement of a truck fleet to serve customers throughout Utah, ensuring the work is completed efficiently on a backup basis to the full time dispatcher.  This position will report to the Operations Manager.

    Responsibilities

    • Create and maintain dispatch on a backup basis to meet customer demand and contract needs by efficiently utilizing equipment and available team members.
    • Manage accounts payable and receivables, as required
    • Review drivers’ paperwork and accurately record the data into the system
    • Ensure all paperwork is in on time daily and entered correctly through verification and validation
    • Ensure invoicing happens per operation standard and to meet customer needs
    • Maintain and disseminate required reports to leadership and customer(s)
    • Support the recruiting process, including scheduling job interviews, completing paperwork, and assisting new team members in the onboarding process
    • Assist the team in administrative items (e.g. book travel, training registration, etc)
    • Update and maintain accurate D.O.T. files for all team members
    • Data entry
    • Assist with communicating to all team members violations for HOS, log book, etc., including daily follow-up with team members
    • Assist with ensuring all team members are set-up in all Savage systems and help resolve any problems (e.g. geo-tab, on road and bulk fuel process)
    • Ensure work is performed in compliance with regulatory requirements
    • Anticipate the needs of those you support and complete assigned tasks with a high degree of accuracy and minimal direction
    • Participate in the S7 quality program
    • Commit to safe work practices; follow standard operating procedures, receive feedback and watch out for the safety, health, and wellness of others
    • Handle and resolve issues with customers
    • Monitor real-time conditions and customers’ needs through communication with customers and Operations Manager and reviewing data
    • Build a strong rapport with drivers, communicate objectives clearly, and provide work direction
    • Fulfill other duties assigned by Operations Manager

    Qualifications

    • Ability to analyze and interpret data, and make quick and confident decisions
    • Strong general computer skills
    • Proficiency in Microsoft Office with an ability to create and manipulate intermediate-level functions in Excel, Word, PowerPoint
    • Strong interpersonal skills; ability to quickly build relationships with customers and team members
    • Problem solving and has the ability to think outside of the box and can grasp the big picture in a chain of events
    • Must be able to travel long distances on occasion for additional training
    • Written and verbal communication skills including proper telephone and email etiquette; ability to communicate with managers, team members, and customers in a concise and professional manner
    • 2 to 3 years of job related experience where the success of the position relies on accurately receiving, inputting, interpreting and utilizing data to make decisions in a fast-paced and occasionally high-stress environment 
    • Demonstrates a sense of ownership for responsibilities, and is willing to learn 
    • Self-starter who can budget time and resources and is able to work with minimal supervision 
    • Has a desire to cross train and communicate with team members in a similar capacity to accomplish a given task
    • Be available to support operations on a rotating, on-call basis; some weekend work will be required

     

     

    Education/Experience

    • High School or GED equivalent required
    • Minimum two years’ experience in data management, customer service, and administrative support
    • Bachelor’s degree preferred
    • Previous dispatch experience preferred

     

    Physical Requirements  

    • Works primarily in an office environment with the occasional need for field work.
    • Must be able to sit for long periods of time
